Communications records
For example, after a phone call with a rental property owner about a particular property, we will send a follow up email so that the decisions made and discussed over the phone are in writing. This can be helpful in many different instances but most of all it helps to solidify our communication so that everyone is on the same page.
Photo and video documentation
Our photo and video documentation can be useful in many ways including the unfortunate situation when a tenant is disrespectful to a property and there has been damage. We can refer back to the move-in video, taken before the tenant moved in, and compare it to the condition of the property after the tenant has moved out. This photo evidence can prove that the damage was in fact, due to misuse, abuse or by accident and the responsibility of the tenant. We are protecting the best interests of our rental property owners and their investments.
Maintenance Records
Additionally, by keeping record of our conversations with homeowners, we are able to document what types of maintenance was done on their property. This helps us assess the condition of the property as other maintenance requests come through and plan for any future maintenance that they property may require.
Property conditions and improvements
Finally, documentation helps us maintain records of improvements and updates to the property. The information is available to everyone on the company so that we are all on the same page as a team. We all know the property particulars which then helps us to accurately describe the property to future tenants. For example, whether there are covered parking spaces, a pool, or nearby park, helps us quickly and accurately market the property to future tenants.
